Policies

Damage Waiver
A Damage Waiver of eight percent (non refundable) is offered to our customers to protect them from incurred replacement charge on damaged goods. The DW may be accepted or declined. The DW does not cover loss, theft, misuse, negligence etc. If the DW is declined then the customer is responsible for repair or replacement costs determined by Thompson Tent Rentals.

Deposit
A thirty percent deposit is required to secure your reservation. It is refundable up to six weeks prior to your event. Final payment is due upon delivery or pick up. Major changes may be made up to one week before your event and 48 hours for minor changes. Once you have received goods you are responsible for theft, loss or damage. Full payment is due if event is cancelled within 48 hrs. Unless setup has been arranged, all goods will be neatly stacked at a convenient place. Goods must be re-stacked for pick up.

Tent Cancellation

We offer what we call a "cancellation reservation". This allows you to book a tent for the day of you event on the terms that if it rains or doesn't rain depending on your plans you can cancel the tent within 24 hours notice of set-up. Upon booking you put down your 30% deposit, if you cancel the tent you pay only thirty percent of the total cost of the tent, if you do use the tent then you pay the total amount of the bill . This is a special booking that applies to tents only.

Terms of Payment
Final payments must be made prior to, or upon pickup / delivery of rental items. Some conditions apply please see details below for more information.

  • CHECKS: must be received four days before delivery unless certified. A certified check will be accepted by either a delivery or sales person on the day of delivery / pick up.
  • CASH: can be brought into the store during regular business hours or handed to delivery person upon arrival of items. Our delivery personal do not carry change.
  • DEBIT: is available for payment purposes during regular business hours in our store.
  • CREDIT CARDS: we accept VISA, MasterCard, or American express in the store, over the phone or in person on the day of delivery.

Delivery
We require a delivery window 4 hours on either side of scheduled time to allow for conditions beyond our control, weather, road conditions, traffic, vehicle breakdowns etc. Exact time and overtime delivery and pick up may be arranged but may be subject to extra charges.

Exact Time: To meet your 'window' of delivery or pickup an additional minimum charge of $250 will be applied.

Overtime: An additional minimum charge of $250 will be applied when pick up or delivery falls before or after our hours of operation.

Mileage Charges: .70 per kilometer for delivery, plus .20 per kilometer per employee.

Shortages: Report all shortages / damaged goods at the time of customer pick up or delivery or all goods are considered received in good condition. Please count before you sign for them.

Changes: We do our best to accommodate changes up to 48 hours before delivery or pick up. Changes after this time may require additional charges.

Local Delivery:
Belleville         $15.00 per way
Trenton          $20.00 per way

Stirling           $33.00 per way
Picton            $55.00 per way
Delivery charges are subject to change.

Hall Conditions: To meet some hall or site conditions (public property that demands clean-up directly after event) overtime charges will apply for Delivery or Pick-up. See Delivery and In-tents service.

Linen
Mandate: Our mandate is to have the best quality and variety of linens at the best possible price.

Linen Policies
Linens should be dry and free of refuse before repacking. Please return linens in bags provided. To prevent mildew, do not return linen in plastic bags. The damage waiver may be accepted for linens but it does not cover preventable damage such as candle wax, cigarette burns or mildew staining.

** Please protect linen from candle wax. A dry cleaning charge of $25.00 or replacement charge will be applicable for each piece of linen returned with candle wax.

A replacement cost will be charged on any linens suffering irreparable damage.

Please report any damaged linen to us prior to event so that adjustments can be made to invoice or linens replaced. Linens are expensive to purchase and maintain. We appreciate your help in keeping our linen in the best possible condition so we can continue to supply quality linen.

Tables and Chairs
Tables and chairs must be protected from harmful weather conditions. Please do not use staples or other damaging fasteners on tables and chairs.

Tableware/Caterware
Please scrape, rinse and return rental items in the original cartons (where applicable). A 15% surcharge will be applied to all goods returned not properly rinsed. Please protect items from harmful weather conditions.

Rental Period
Prices are based on one time use for 'event rental' period. This may be up to a four day period. There are different long term rates for different categories of equipment. Please call for special rates.

Tents
Damage waiver is now offered on top of the price of our tents. With the increase of insurance and purchase price we have extended our insurance policy that we offer our customers to now include our tents. If this option is not accepted then it is the renter's responsibility to take out a policy on their own house insurance to cover the replacement price of the tent.
